SaaS products are excellent when your process matches the vendor’s model. They become expensive when your team spends more time fighting required fields, unused modules, and brittle automations than serving customers.
Start with the problem, not the product company
Define who uses the system, what “done” looks like for a job or a deal, and which numbers leadership reviews weekly. If a packaged CRM can do that with light configuration, buy it. If every week needs a workaround, you are paying rent on a mismatch.
When custom is the cheaper path
- Your pipeline stages do not match generic CRM language
- You need data from WhatsApp, email, ERP, or spreadsheets in one place
- Reporting is a monthly fire drill
- You have tried two tools and still run a master Excel file
What a first version should include
Not a marketplace. Not multi-tenant billing. A usable CRM or operations console: records, assignments, a few automations, and a dashboard. That is an internal product, not a public SaaS launch.
Astrabyte builds those internal systems - custom CRM and dashboards and the agents that keep them updated. We are not a SaaS incubator. Talk through build vs buy.
